What this site does with information
This is the website for LuxStay, a product for owners and managers of staffed villas. You can reach the people behind it at luxstay.ai@gmail.com. A person reads that mailbox and replies; response times vary.
Inquiry information
The inquiry form collects your name, your email address, the villa or company you type, where the villa is and, if given, a link to the villa, and anything you add in the note. It exists so a person at LuxStay can read your message and reply to you about your villa. There is no marketing list. We use the villa’s name, where it is and the link to look at the villa, including its public listings on sites such as Airbnb or VRBO, before we reply.
The endpoint accepts more than the form shows. These optional choices are accepted and then set aside, never put in the email and never kept. They include the role you are in (owner, property manager, general manager, staff supervisor, agency or consultant, or other), the island the villa is on, how many villas you look after (1, 2–4, 5–9 or 10+), and how many staff you have (0–3, 4–9, 10–24 or 25+). They also include what takes up most of your time (guest requests, housekeeping, maintenance, owner reporting, receipts and finances, staff communication, or too many tools), a budget range (under US$5k, US$5–15k, US$15–40k, US$40k+, or not sure), and when you would want to start (ready now, this quarter, within a year, or just exploring). Anything not given simply stays absent.
If the page address contains campaign tags, the browser can send five recognized tags (utm_source, utm_medium, utm_campaign, utm_content and utm_term) with the inquiry. Valid, cleaned tags are included in the inquiry email; tags over 60 characters, or containing an @ sign or a link, are left out. Only a valid utm_source value that remains after cleaning appears on a separate Source line. The submission reference your browser keeps while you fill the form is sent with the form but is left out of the email, and the reference shown to you after a send is a new one made for that send alone.
No inquiry is sent unless the send carries your agreement; it is required. Sending the form is that agreement: a line under the button reads “Sending this emails your name, email, the villa’s name, where it is, the link if you add one, your message, the inquiry’s reference and time, and any source and campaign tags to LuxStay’s Gmail mailbox, where it is kept so we can look at your villa and reply.” and the form sends the agreement with every submission. The agreement authorizes that submission and is then discarded.
A reference appears after the email is sent. Every send makes a new reference; retrying is simply another send with its own. If the send fails, the page says so and no reference is shown.
Sending the form creates one incoming inquiry email. It does not send you an automatic email or book a meeting. That inquiry email contains your name, email address, villa or company, location, optional link and note, the inquiry reference and time, plus any valid source and campaign values received with the submission. A person replies by hand from the Gmail mailbox luxstay.ai@gmail.com.
After the send, LuxStay works from the email kept in that mailbox.
Basic website activity
This site sends a short page-view signal when a page opens and a form-start signal when the form is first touched. The site acknowledges each signal and throws it away: the signal is discarded and not stored, but the rate limiter still counts that request per address for about a minute. The contents of the contact form are not part of these signals.
The browser keeps a random session reference in session storage, sent with the activity signals and with a question to Lexi, and it keeps the in-progress submission reference there too. Both references use session storage. Closing the window normally clears session storage, so the browser's copies of both references are gone then. The session reference is discarded with the signal or question, and the submission reference is discarded without entering the inquiry email.
Questions you ask Lexi
The home page has a chat where you can ask Lexi a question about LuxStay. On this site Lexi answers from written, checked answers, and no AI model is used. Your question goes as one short email to LuxStay’s own mailbox, so a person can see what people ask. Like every request to this site, it arrives through Cloudflare’s network, as described below. When none of the written answers fits, Lexi says so and points you to the demo section on the home page. If many questions arrive at once you may be asked to wait a minute and ask again; a question turned away like that is not saved.
The email carries your question, the id of the written answer it was matched to, whether it matched, and the time. The written reply remains in the site’s answer bank, where its id identifies it. The chat asks only for a question. Anything personal you type there travels in the question email, so please leave personal details out.
Where it is kept
This site has no database, advertising pixels, or outside analytics. Cloudflare Email Service sends both inquiry and question emails through Google’s mail service to LuxStay's Gmail mailbox, where a person reads them.
Requests to the site arrive through Cloudflare's network, which therefore sees the visitor's address, browser request details, and the request itself. The application does not create a visitor profile from those network details. Cloudflare Turnstile guards both the inquiry form and the chat; its check sends the visitor's address and challenge details to Cloudflare. Cloudflare’s rate limiter counts requests per address and site-wide at each Cloudflare location for about a minute. Cloudflare briefly holds counter keys for that purpose. If the limiter is unavailable or fails, requests are refused. A reply is written by a person from the Gmail mailbox luxstay.ai@gmail.com, so that reply, and whatever of your message it quotes, passes through Google's mail service. Google Calendar handles call booking separately; what you enter there is held by Google in LuxStay's calendar, where we read it.
Access and retention
Inquiries and questions are kept in the Gmail mailbox until a person deletes them; nothing expires automatically and there is no self-service deletion.
If you write to luxstay.ai@gmail.com, an inquiry email can be found from the name and email in it, and a question email can be found only from the wording of the question and the time. The activity signals are discarded and the chat exists only as the one question email, so there is nothing else to search. Deletion means a person deleting the emails from the mailbox; the product has no delete button.
